How small teams use Nexus
Three jobs Nexus is built for, each followed from the first step to the money in your account. The businesses described here are examples.
Quoting jobs from website enquiries
For example, a fit-out business that gets most of its work from its website.
-
Step 1
An enquiry arrives
A visitor fills in your quote request form and picks the products they want. Nexus creates the contact and, with Create a deal on, a deal with those products as its items. A rule can alert your team.
-
Step 2
You send an estimate
Start an estimate from the deal, check the lines and send it from your own mailbox with the PDF attached.
-
Step 3
The customer accepts online
They open the estimate page, accept by typing their name, and the deal moves to the won stage you chose.
-
Step 4
The invoice is paid by card
Create the invoice from the accepted estimate. The customer pays by card on the invoice page, into your Stripe account.
Billing in stages
For example, a job that is paid half at the start and the rest on completion.
-
Step 1
A deposit invoice on acceptance
When the estimate is accepted, invoice a deposit as a percentage or an amount of the estimate.
-
Step 2
The deposit is paid
The customer pays by card, or you record a bank transfer. Each payment gets a receipt number, such as R-0001, and a receipt by email.
-
Step 3
A balance invoice on completion
When the work is done, invoice the balance. Nexus works out what is left on the accepted estimate.
-
Step 4
Reminders if it runs late
Send a reminder by hand when an invoice is overdue, or set up an automation to send reminders as the due date passes.

Taking a payment without an invoice
For example, a call-out fee or a booking deposit paid before any quote exists.
-
Step 1
Make a payment link
Give it a title and one amount that includes tax. Link it to a contact or a deal, and choose whether it is single-use or reusable.
-
Step 2
Send it to the customer
Copy the link into a message or an email. The customer opens it with no sign-in.
-
Step 3
They pay by card
Payment goes through Stripe Checkout into your own Stripe account, with the optional card surcharge shown before they pay.
-
Step 4
You have the record
The payment shows against the link and in your transactions, and the customer gets a receipt.
